Centralized Referral Coordinator (Remote)

About the role

Arvenda is seeking a highly organized Centralized Referral Coordinator to clear a backlog of referral orders and maintain ongoing follow‑up within the Athena Practice EHR system. This remote position ensures continuity of patient care by tracking referrals, obtaining consultation reports, and documenting outcomes.

Key responsibilities

• Run referral follow‑up reports in Athena Practice to identify pending orders.
• Prioritize and process backlog while handling new referral queues accurately.
• Review patient charts, locate specialist consultation reports, and complete referral orders.
• Contact patients or guardians to confirm appointment completion and record outcomes.
• Reach out to specialist offices for missing reports, making up to three documented attempts per case.
• Escalate unresolved referrals to ordering providers after three unsuccessful attempts.
• Document all outreach and follow‑up activities within the EHR.

Required profile

• High school diploma or equivalent.
• 2+ years of experience in healthcare administration, referral coordination, medical records, or a medical office.
• Experience working with an Electronic Health Record (EHR) system; Athena Practice preferred.
• Strong verbal and written communication skills.
• Excellent organizational and time‑management abilities.
• Ability to handle PHI in compliance with HIPAA.
