Virtual Medical Assistant Patient Care Communications Specialist

About the role

We are seeking a polished, reliable, and patient‑focused Virtual Medical Assistant to serve as the first point of contact for a growing chiropractic clinic. The specialist will manage high‑volume communications across phone, text, email, voicemail, and scheduling platforms, ensuring a warm and professional experience for current and prospective patients.

Key responsibilities

• Answer inbound patient calls promptly and respond to texts, voicemails, emails, and faxes in a timely manner.
• Schedule new and existing patient appointments, collect intake information, and manage confirmations, cancellations, and rescheduling in MacPractice.
• Prioritize new patient inquiries and referral opportunities, conduct follow‑up outreach for inactive patients, and help convert inquiries into booked appointments.
• Maintain accurate patient records, scheduling notes, and communication documentation while coordinating with in‑office staff to keep the provider schedule full.
• De‑escalate patient concerns related to scheduling, billing, or insurance, and follow HIPAA privacy standards at all times.

Required profile

• Excellent spoken English with a clear, neutral accent and strong written communication skills.
• Prior experience in a virtual medical assistant, medical receptionist, or similar healthcare support role handling high call volume.
• Reliable, punctual, and proactive with attendance communication; flexible to work assigned shifts, including Saturdays.
• Own a Mac OS device and have a reliable high‑speed wired internet connection.
