Administrador de Servicios Operativos

About the role

The Operations Services Administrator will support the technical teams of IJM’s Guatemala office, ensuring that all logistical, procurement and administrative needs are met so that staff can focus on delivering impact for vulnerable populations.

Key responsibilities

• Support day‑to‑day operations of technical teams across multiple sites (Guatemala City, Escuintla, Quetzaltenango, Alta Verapaz).
• Coordinate timely acquisition of goods and services required by programs and projects.
• Maintain availability of materials, supplies and resources for technical activities.
• Communicate continuously with user areas to anticipate needs and plan operational requirements.
• Organise logistics for meetings, workshops, trainings and institutional events, including reservations, catering, transport and accommodation.
• Manage supplier relationships, quotations, purchase orders, contracts and delivery follow‑up.
• Negotiate service conditions to achieve optimal quality, cost and delivery times.
• Ensure compliance with internal procurement, contracting and information‑security policies.
• Collaborate with finance to monitor budgets and optimise costs.
• Prepare reports and administrative controls that promote transparent resource management.

Required profile

• Degree in Business Administration, Industrial Engineering, Logistics or a related field.
• Minimum three years of experience in administration, logistics, procurement or operational support.
• Proven experience managing suppliers, travel arrangements and support services for technical teams.
• Advanced knowledge of purchasing processes, contracts and resource administration.
• Valid driver’s license.
• Fluent in English (written and spoken).
• Experience in international NGOs or multi‑site operations is desirable.
