About the role

The Operations and Procurement Specialist supports the financial manager in ensuring that project operations and acquisitions run efficiently and align with client expectations. The role combines event logistics, travel coordination, procurement management, and partner capacity building, primarily within health programs.

Key responsibilities

• Plan and coordinate project events, workshops, trainings, and meetings, handling on‑site logistics, travel arrangements, hotel bookings, and catering services.
• Maintain professional relationships with local hotels and conference venues and keep an up‑to‑date hotel contact database.
• Assist in developing event budgets and calculating travel expenses.
• Process purchase requisitions, create purchase orders, and track acquisition status from request to final delivery.
• Prepare and issue RFQs and RFPs, evaluate vendor proposals, negotiate terms, and secure donor approvals when required.
• Manage contracts, ensure periodic vendor authorizations, and reconcile invoices with purchase orders and delivery notes.
• Provide technical assistance and training to partner organizations on administrative and reporting procedures.

Required profile

• Minimum of 3 years experience in accounting, finance, procurement, or administrative roles.
• Experience managing operations for maternal‑child health programs is preferred.
• Ability to work under the supervision of a financial manager and communicate effectively in English (optional).
